Re: Invoices and Receipts

Just as a question: can all parties agree to the
following principle?

"It's the responsibility of the
school paying the bills to let the host know what
information is needed to ensure payment, and it's the
responsibility of the host to work with the paying school to
make sure that the required information is provided.
[On a 'first iteration,' a sample invoice detailing
required information should be provided, in advance, if
possible.]"

Now, in Dave's specific case, he has met all the
requirements of this principle--provided he lets each host
school of a tournament Michigan attends know about the
requirements (such as by e-mailing the sample invoice to
them). Under such circumstances, then it's the host's
problem.

Let us consider this statement. The implication of
this statement is that the host of the tournament
should be forced to create invoices for everyone based
on the needs of the "most stringent" standard. This
is kind of absurd: if your school has a particularly
obnoxious accounting system, and you know it, then why not
make a form that has the required information, and
give copies to the tournament host to fill out on the
day of the tournament (in addition to the "standard"
invoice), and to keep for their future use? That way, you
satisfy the requirements of your school, and the
tournament host doesn't have to go out of its way designing
an all-purpose invoice for every possible
contingency. ["What do you mean 'I have to include my blood
type and neck size on the invoice?!?'"]

I don't
see the value of trying to create a uniform
"standard" invoice--since every school has different
requirements, this smacks of making everyone default to a
particular choice because of the needs of a single school.
[Again, I guess it's a disagreement on how far the host
school has to go to satisfy the needs of all its
different "clients."]
